Wakalist respects your privacy. This Privacy Policy explains what information we collect, how we use it, when we share it, what choices you have, and how Wakalist uses cookies and similar technologies when you use the Wakalist website, platform, and related services (collectively, the “Service”).

In this Privacy Policy, “Wakalist,” “we,” “us,” and “our” mean Wakalist.

By using Wakalist, you agree to the practices described in this Privacy Policy.

1. What This Privacy Policy Covers

This Privacy Policy applies to personal information we collect when you:

  • visit or browse Wakalist;
  • create an account;
  • save spots or use logged-in features;
  • submit a spot suggestion or contact us;
  • sign up for email updates or marketing; or
  • interact with our emails, website, or other services.

2. Information We Collect

We collect information in a few different ways.

Information you give us directly

Depending on how you use Wakalist, you may provide us with:

  • your name;
  • email address;
  • password or login credentials;
  • profile preferences (such as Email Newsletter and Marketing & Offers preferences);
  • support messages or other communications you send us;
  • marketing preferences; and
  • any information you submit through forms on Wakalist, such as the Suggest a Spot form (venue/event names, category, location, and recommendation notes).

Information collected automatically

When you use Wakalist, we may automatically collect technical and usage information such as:

  • browser type;
  • device type;
  • operating system;
  • referring pages;
  • pages viewed;
  • timestamps;
  • clicks and manual interaction events; and
  • approximate city, region, and country derived from the IP address associated with an analytics request, but only when you have accepted optional analytics.

When optional analytics is enabled, Mixpanel may use the IP address associated with an analytics request to derive an approximate city, region, and country. Mixpanel discards the IP address before the event is ingested into Wakalist's Mixpanel project. This is approximate network location and may be inaccurate, including when you use a VPN, proxy, corporate network, or mobile carrier. Wakalist does not send precise device GPS coordinates to Mixpanel and does not use Mixpanel to determine your precise location.

Wakalist is designed around user-entered location rather than device or network location. The Wakalist location selector, venue geography, and event geography are independent of any network-derived location used for analytics.

Information from third parties

We may receive information from third-party service providers that we use to run the Service, such as analytics providers (Mixpanel), authentication and infrastructure tools (Supabase), and email delivery services (Mailchimp).

3. How We Use Your Information

We may use personal information to:

  • provide, operate, and maintain Wakalist;
  • create and manage user accounts and sessions;
  • remember your preferences (such as selected location and cookie preferences);
  • process and review spot suggestions;
  • understand how Wakalist is used;
  • communicate with you about your account, submissions, or support requests; and
  • send newsletters or marketing updates where you have opted in.

4. Accounts and Authentication

If you create a Wakalist account, we use your account information to manage your account, authenticate your sign-in, support logged-in features, and secure the Service. Authentication sessions are handled securely using Supabase Auth.

5. Communications and Newsletter

Wakalist offers email communications for public visitors and authenticated users:

  • Public Newsletter Signups: Public newsletter signups are processed server-side through Wakalist and Mailchimp and do not intentionally use Mailchimp browser tracking on Wakalist.
  • Authenticated Preferences: If you sign up for an account, you can manage your preferences (Email Newsletter and Marketing & Offers) separately through your profile. Marketing & Offers campaigns depend on the Email Newsletter subscription being active. You can withdraw either preference at any time via your Profile page or through the unsubscribe links in our emails.

6. Cookies and Similar Storage Technologies

Wakalist uses local browser storage (cookies, local storage, and session storage) to support the Service, manage consent, and analyze usage.

6.1 Essential Storage

Essential storage is necessary for Wakalist to function safely and properly. These items are required for the Service and cannot be disabled through our preferences panel:

  • Supabase Auth: Session and token data used to identify and keep signed-in users authenticated.
  • wakalist:selectedLocation: Remembers your selected neighborhood/city filter.
  • wakalist:privacyConsent: Stores your privacy preferences choice so we can honor it across visits and tabs.

6.2 Optional Analytics (Mixpanel)

We use Mixpanel to analyze platform usage, pages viewed, and feature performance. This tracking is optional and disabled by default:

  • Opt-In Requirement: Mixpanel is not imported, initialized, or permitted to write any browser cookies or storage keys until you click "Accept analytics" in the banner or toggle the preference on.
  • Consent Changes: You can update your choice at any time using the Privacy choices control in the footer. If you choose "Essential only" or decline analytics, we immediately opt out, reset identity, stop all further tracking, and completely purge Wakalist project-specific Mixpanel storage from your browser.
  • Privacy Safeguards: To protect your anonymity, we explicitly configure Mixpanel with:
    • IP-derived approximate geolocation is enabled only after you accept optional analytics. Mixpanel may use the request IP address to derive an approximate city, region, and country and then discards the IP address before the event is ingested into Wakalist's Mixpanel project.
    • Wakalist does not transmit IP addresses as custom event properties and does not use Mixpanel to collect precise GPS coordinates.
    • Autocapture and automatic page-view collection disabled.
    • Session Replay and recording disabled.
    • Wakalist only transmits manually selected, non-sensitive interaction events. We do not transmit email addresses or unnecessary direct identifiers to Mixpanel.
  • Data Role: Mixpanel processes data in the United States solely as a service provider/processor on our behalf. We do not permit Mixpanel to use this data for advertising or cross-context behavioral profiling. Mixpanel event data is generally retained for up to two years under Wakalist’s current project configuration.

7. No Sale or Behavioral Advertising

Wakalist does not sell your personal information. Wakalist does not share personal information with third parties for cross-context behavioral advertising, nor do we deploy retargeting or advertising cookies on the platform.

8. International Data Processing

Personal information collected by Wakalist is processed and stored in the United States and Canada:

  • Supabase Core Data: Stored securely in databases hosted in Ohio, United States.
  • Mixpanel Analytics: Stored and processed in the United States.
  • Mailchimp Communications: Stored and processed in the United States.

Information processed abroad is subject to the laws of those jurisdictions, which may permit local law enforcement or regulatory authorities to access personal data under applicable legal processes.

9. Account Deletion and Retention Limits

You can delete your account and profile data at any time via the self-service account-deletion control on your Profile page. When you delete your account:

  • Active profile, preferences, and saved items are purged from our database.
  • Certain limited consent records, Mailchimp suppression states (to honor email opt-outs), security log artifacts, or audit files may be retained to fulfill legal, regulatory, or operational obligations.
  • Mixpanel identified data may require a separate manual deletion request to be fully scrubbed.
  • Limited encrypted backup copies may be retained for business continuity and security and deleted according to the applicable backup-retention schedule.

10. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no database or system is completely secure, and we cannot guarantee absolute security. You are also responsible for keeping your account credentials secure.

11. Children and Minors

Wakalist is not directed to children under 13, and children under 13 should not create an account. While ordinary browsing, saved items, and account creation do not have a blanket 18+ restriction, specific venues and events listed on Wakalist may impose their own age, identification, alcohol-service, or entry requirements. Users must comply with all such provider-specific restrictions.

12. Your Rights and Choices

Depending on where you live (such as Canada), you may have legal rights to request access to, correction of, or deletion of the personal information we hold about you. You can update your profile preferences and delete your account directly via the platform. For other inquiries, or if you wish to lodge a complaint with your local privacy regulator (such as the Office of the Privacy Commissioner of Canada), you can contact us at our support address.
